Job Overview:
- We are seeking a Temporary Employee / student / volunteer Coordinator for the Cork Summer Show to manage and oversee the scheduling, placement, and supervision of up to 80 part-time employees and volunteers during this event. This role requires careful planning to allocate all key tasks and roles efficiently, ensuring that all workstations across the event site are adequately staffed to maintain smooth operations. The coordinator will also be responsible for creating a work timetable, staff rota, and job allocation plan for the duration of the show. As well as keeping records of employee work hours and any issues encountered.
- Key Responsibilities: • Workforce Planning: Develop a comprehensive work schedule for up to 80 part-time employees and volunteers, assigning appropriate roles and on site locations based on employee skills and availability. • Job Allocation: Assign students, volunteers, and helpers to various job roles across different site locations and ‘Zones’, ensuring all key areas are staffed efficiently at all times.
- Scheduling & Rota Management: Create and distribute a structured rota and timetable in advance of the show to all staff and management, ensuring that all shifts are covered across the event’s two days on the 14th & 15th of June 2025. www.corksummershow.com
- Team Coordination: Provide clear instructions to all workers and volunteers on site, ensuring they understand their roles and responsibilities and locations. Organise a health and safety staff training session for all the temporary workers prior to starting work on Sat morning 14th at 8am.
- On-Site Supervision: Monitor employee performance and attendance during the event, making real[1]time adjustments to the planned schedule as needed. Move staff around as required. • Communication & Support: Act as the main point of contact for the various ‘zone’ managers and all part-time workers and volunteers, answering queries and resolving any staffing requirements.
- Support Event Zone Managers: Support the various Zone managers with staff as required
- Efficiency Management: Optimize manpower allocation to avoid understaffing or overstaffing at different locations.
- Problem-Solving: Quickly address any gaps in coverage or unexpected absences by reassigning roles effectively over the two days of the show.
- Reporting & Feedback: Document any staffing challenges or improvements for future event planning. Keep a record of what worked what hours in which locations so that the correct wage payments can be made after the show. Person Specification: Essential Qualifications & Experience:
- Prior experience in student coordination, workforce management, or team leadership • Strong ability to create and manage schedules, work rotas, and shift assignments. • Experience in working with volunteers, temporary staff and students (aged 15 – 20)
- Excellent organizational and problem-solving skills.
- Strong leadership abilities to manage a diverse group of young temporary employees.
- Ability to work in a fast-paced, dynamic event environment. Skills & Attributes:

- Working Conditions: • On-site position during the Cork Summer Show (June 12th–14th, 2025). • Extended hours may be required before and during the event. • Work in an outdoor, fast-paced event environment at the showgrounds.
